NON-MEMBER VENDOR REGISTRATION FORM

NON-Member Vendor Participation Includes:

  • 8-foot table/vendor station in designated event area

  • Opportunity to sell products and promote services

  • Inclusion on event website, social media, and vendor map

  • Exposure to local, national, and international Route 66 visitors

Vendor Expectations

By participating in Cruisin’ on the Mother Road, vendors agree to:

  • Maintain a professional, family-friendly environment

  • Be fully set up before event opening time

  • Keep booth space clean and free of trash

  • Treat attendees, volunteers, neighboring vendors, and businesses respectfully

  • Comply with all local, state, and federal laws

  • Follow all instructions from Western Avenue Association staff and event volunteers

  • Avoid excessive noise, aggressive sales tactics, or disruptive behavior

  • Not sell prohibited, offensive, counterfeit, or illegal items

Liability Waiver

Vendor understands participation is voluntary and assumes all risks associated with participation in the event. Vendor agrees to release and hold harmless the Western Avenue Association, its board members, volunteers, sponsors, property owners, event partners, and the City of Oklahoma City from any claims, damages, injuries, theft, losses, or liabilities arising from participation in the event.

Insurance & Responsibility

Vendor is solely responsible for:

  • Their booth setup

  • Inventory

  • Equipment

  • Staff/volunteers

  • Payment processing

  • Sales tax collection

  • Any permits required by law

Western Avenue Association is not responsible for lost, stolen, or damaged property.

Weather Policy

This is a rain-or-shine event unless canceled by Western Avenue Association due to severe weather or safety concerns. Vendor fees are non-refundable.

Cancellation Policy

Vendor cancellations are non-refundable.

Media Release

Vendor grants permission for Western Avenue Association to use photos/videos of vendor booths, staff, products, and activities for marketing and promotional purposes.

Submission of this application does not guarantee acceptance. Western Avenue Association reserves the right to approve or deny vendors based on event fit, product overlap, space limitations, or district priorities.
